OWL Systems Pty Ltd trading as JobLink (“JobLink”, “we”, “our”, “us”) respects your privacy and is committed to protecting your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). This Privacy Policy explains how we collect, use, store and disclose information when you use our products, services, website and applications (collectively, the “Services”).
We may collect the following types of information: business and account information such as name, business name, ABN, contact details and billing information; booking and payment information including customer names, addresses, service details, deposits, payment methods and transaction data; communications such as messages, emails and SMS records related to bookings or account activity; technical information such as IP address, browser type, device information and activity logs; and integration data from third-party services such as Stripe, Simpro, ServiceM8 or Jobber that you connect to JobLink. We collect this information directly from you, your authorised representatives, your customers through your booking forms, or automatically when you interact with JobLink.
We use the information we collect to provide, operate and improve our Services; process payments and deposits; send booking confirmations, reminders and receipts; manage your account and billing; detect and prevent fraudulent or unauthorised activity; communicate updates, support information or marketing offers where you’ve consented; and generate anonymised analytics to improve product performance. We only collect and use personal information necessary for our business operations.
We may share personal information with payment processors such as Stripe to facilitate transactions, third-party integrations when you connect external platforms such as Simpro or ServiceM8, service providers who assist with our infrastructure, communications and data storage, and legal or regulatory authorities when required by law. We do not sell, rent or trade personal information to any third party.
When you connect Google Calendar to JobLink, we access the following data: your list of calendars (to let you choose which calendar to sync) and calendar events within your selected calendar (to check availability).
We use this data to display your availability when customers book appointments, create calendar events for confirmed bookings, update events when bookings are rescheduled, and remove events when bookings are cancelled.
Your Google Calendar data is stored encrypted in our secure database, never shared with third parties, only accessible by you and authorised team members, and deleted when you disconnect the integration.
You can revoke JobLink’s access to your Google Calendar at any time from JobLink’s Integrations settings page, or from your Google Account at myaccount.google.com/permissions.
JobLink’s use of Google user data complies with Google’s Limited Use Requirements.
JobLink stores data securely using encrypted servers located in Australia or trusted international data centres that comply with recognised security standards. We use technical and organisational measures to protect data against loss, misuse or unauthorised access. Despite these safeguards, no online service can guarantee absolute security and you are responsible for maintaining the confidentiality of your login credentials.
We retain personal data for as long as necessary to provide our Services, meet legal obligations, resolve disputes and enforce agreements. When information is no longer required, it is securely deleted or anonymised.
You have the right to request access to personal information we hold about you and to request correction of inaccurate or incomplete data. Requests can be made by contacting us at support@joblinktech.com.au. We may require proof of identity before processing such requests.
Some of our service providers may store or process data outside Australia. Where this occurs, JobLink takes reasonable steps to ensure that the information is handled in accordance with Australian privacy standards.
JobLink uses cookies and similar technologies to improve functionality, track usage and analyse trends. You can adjust your browser settings to refuse cookies, but some features of the Services may not function properly without them.
We may send you marketing emails or SMS messages about JobLink products or updates. You can unsubscribe at any time by following the link in the message or contacting us directly. Essential transactional communications such as booking confirmations and payment receipts will continue to be sent as part of the Services.
JobLink may include links to external websites or services not operated by us. We are not responsible for the privacy practices or content of those third parties and encourage you to review their policies before providing any personal information.
JobLink’s Services are intended for business and professional use only and are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children.
JobLink may update this Privacy Policy from time to time. Any changes will be posted on our website and will take effect immediately upon posting. Continued use of the Services after an update constitutes acceptance of the revised Policy.
